My accounts shows where the money went and what came in, using the papers you already have in JUDLEX. It does not replace your bank. It puts in order what your statements already say and matches it with your invoices and receipts.
The money comes from the movements on your bank statements. Every figure carries its sentence and its page, and clicking it opens the paper at that spot.
What it shows
The screen has three tabs: Summary, Which payment belongs to which paper and, only when needed, No date. The arrows at the top change the year.
On Summary you will see:
Expenses and Income for the year.
Expenses by month. Clicking a month opens the detail of what was spent then.
By category: what kind of things the money went on. If a category is wrong, change it from the three-dot menu of that movement, with Change the category.
What repeats: payments that come back every month or every year, such as insurance or a subscription.
Your statements: each statement that has been read, with a label saying whether it Matches its balances or Does not match.
Transfers between your accounts: the same money leaving one of your accounts and entering another. It counts neither as expense nor as income.
If you have movements in another currency, they are shown separately. JUDLEX does not convert them or add them up.
How it fills in
Click Read amounts and statements. Before it starts, JUDLEX tells you how many papers and how many pages are going to the artificial intelligence, and you decide with Go ahead. The text goes straight to your own AI provider, with your own key.
After reading, each figure is checked against the sentence it comes from. If the number is not in that sentence, the figure does not count until you have looked at it. It waits under Waiting for you to check, and with It's right or Discard you decide what to do.
Statements work the same way, and they are also checked against their balances. If they do not match, JUDLEX says how large the difference is and on which line the account breaks. With Read again it tries once more.
If there are no new papers with amounts, it says so and spends nothing.
Which payment belongs to which paper
This tab matches the bank's movements with your invoices and receipts. JUDLEX joins them by arithmetic: the amount has to be the same, and the date on the paper has to fall within a few days of the charge. You can change that margin of days at the foot of the tab.
What you will see:
You decide which one, in amber. It appears when one paper fits more than one movement equally well. JUDLEX does not choose. You click This one on the movement that is right.
Payments with their paper: what is already linked, with a label saying whether it was Matched by JUDLEX or Linked by you. If a link is a mistake, Not the same one undoes it.
Movements without a paper: bank payments with no invoice. From the menu of each one you can Link to a paper, change the category or Leave it out of the figures. Leaving it out does not delete it. It simply stops counting as spending or income.
Papers without a movement: invoices and receipts that have not been seen on any statement.
Transfers between your accounts: if JUDLEX has taken something for a transfer that is not one, Not a transfer corrects it.
What is not added up
Invoices and receipts with no payment seen on your statements are shown under Papers with no payment seen in your statements. They may have been paid from another account, or a statement may be missing. They are not added to expenses.
What you are asked to pay, such as fines, enforcement notices and assessments, goes apart, under What you are asked to pay, and is not added either. A paper that asks for money does not prove that you have paid it.
In either list you can say what happened to each paper: I already paid it or No need to pay it. The paper moves to Already settled, stops counting as pending and is not deleted. If you made a mistake, Put it back as pending returns it to its place.
Papers with no date
A paper with an amount but no date falls in no year, so it cannot be matched with a movement. If there are any, a No date tab appears, with its number. Open it, look up when the paper is from and write the day with Set date. You can also ask to Read these papers again.
What it does not do
My accounts does not work out taxes and does not give investment advice. It counts what your papers say, shows where each figure comes from and leaves the doubtful ones for you to decide.
