JUDLEX

My papers

How your papers get into Personal, how JUDLEX sorts them into matters and folders, and how you correct anything without deleting a thing.

My papers is the screen where you drop your papers in and see them sorted. It is the file of a single person, you: there is no list of clients.

When the screen is empty, JUDLEX says: “Give me your papers: drop them anywhere in this window, or paste a screenshot”. Once there are papers in it, the button becomes Add documents.

How papers come in

  • Dropped on the window. Drag files or folders from your computer and drop them anywhere on the screen.

  • Pasted as a screenshot. A screenshot is pasted from the keyboard and comes in like any other paper.

  • With the button. Add papers, or Add documents once there are some, opens your computer's file window so you can choose them.

  • By themselves, from a folder. What lands in your downloads folder can come in without you doing anything: The watched folder.

JUDLEX copies each paper into its own documents folder and leaves the original where it was, untouched.

The Inbox

Everything that comes in waits first in the Inbox. It is a tray: what JUDLEX has already read and is not yet in any matter. At the top it tells you how many papers are still to be read and how many are to be taken to their matter.

Taking papers to their matter

Click Take to its matter. JUDLEX asks first: “Shall I take each paper to its matter?”. That question says how many pages will be sent to your provider's artificial intelligence, and nothing is sent until you click Go ahead.

The AI then does two things:

  • It creates the matters and the folders. For example, a matter called “Beach flat 2016”. JUDLEX builds the name from pieces taken from your papers, each with its sentence. Matters created this way are marked as created by the AI.

  • It puts each paper in its place.

A paper with no sentence saying where it belongs stays in the Inbox, and JUDLEX tells you so: no sentence was found saying where those belong. Those are yours to place.

If the chat's Automatic steps are switched on, JUDLEX offers the sorting as papers come in, and anything that uses artificial intelligence waits for your Go ahead. If you have switched them off, you start it with this button.

A scanned paper with no text is read before it is sorted. In the tree it shows as To read and split, with a Read and split button.

Everything can be undone

Nothing the AI does is final, and nothing is deleted when you correct it:

  • Undo. In a matter's menu, Undo… sends its papers back to the Inbox and archives the empty matter.

  • Merge with another matter. If two matters are really one, Merge with another matter… moves the papers of one into the other.

  • Where the name comes from. Where “…” comes from shows you the sentences from your papers the matter's name was built from. If you do not like the name, rename it: JUDLEX will not touch it again.

Dragging by hand

You can also sort things yourself, with no AI involved. Drag a paper, and whichever row sits under the pointer takes it:

  • over a matter, it goes into that matter;

  • over a folder, it goes into that folder;

  • over nothing, it goes back to the Inbox.

Papers in the Inbox are dragged one at a time, or all at once with Drag all. If you drag a whole folder, its documents go in but its structure is not copied.

Which formats it reads

JUDLEX reads PDFs, images, text and saved emails. It also reads Word and Excel documents, and their equivalents in other programs, but for that it needs LibreOffice, which is free. If you do not have it, those papers are kept anyway and you open them with your own program. In Settings → Watched folders → Word and Excel there is a How to install LibreOffice button.

A paper that was already there is not duplicated, even if it has a different name: JUDLEX recognises it by its content.

Looks like the firm's

If a paper arrives through the watched folder and your computer also has the Professional section, JUDLEX checks it before keeping it. It does this on your computer and without artificial intelligence. If the paper resembles something belonging to one of the firm's clients, it is set apart under Looks like the firm's, and JUDLEX gives you the reason in general terms, without saying which client. You decide with three buttons:

  • Ignore: it is not kept.

  • It's mine, keep it here: it goes into Personal.

  • Send to the firm: it moves to the Professional section, where it appears in the Arrived from Personal card so you can put it into a matter. This button is available when this computer has a Professional section and it is not read-only.
