In the Fees section of the case file, below the fee estimates, is Payments: what the client has paid and what is still due.
The balance
With an accepted fee estimate, the top shows what was estimated, what has been received and what is outstanding, and a bar for each instalment of the payment plan. Disbursements are counted apart. If more than the estimate has been received, that is shown too.
JUDLEX does the sums, in cents. If the fee estimate gets a new accepted version, the payments keep counting: they go with the fee estimate number, not with a version.
Without an accepted fee estimate, only what has been received is tracked.
Recording a payment
Record payment asks for the date, the amount, what it is (advance on fees, fee instalment, advance for disbursements, disbursement or other), the payment method and, optionally, a note. A fee payment can be tied to an instalment of the plan; otherwise the balance allocates it in order.
The receipt
From each payment's menu, Make the receipt saves a PDF in the case file folder, with your letterhead and signature, the amount in figures and in words, and clearly visible: «This document is not an invoice».
Cancelling a payment
A payment is never deleted or changed. If it was entered wrongly or refunded, Cancel the payment asks for the reason: it stops counting in the balance and stays in the list, crossed out, with its reason.
On the client screen
The client screen shows what is outstanding across all their case files, with the detail when you hover over it.
