JUDLEX

Share a matter or a case file with a colleague

Send a whole matter or case file to a colleague at the firm through the cloud, encrypted, and receive what others share with you.

You can send a whole matter or case file (papers, exhibits, folders, parties, and facts with their citations) to a colleague who uses JUDLEX on the same licence. It reaches them as a copy that becomes theirs: what they do with it afterwards does not change yours, and the same goes the other way round.

It travels through the firm's cloud and is encrypted only for the computers you have confirmed: the cloud service cannot read it, and it does not go through JUDLEX's servers.

Sharing is part of the Professional section. You need a connection in Settings → Data: see The firm's cloud.

Two ways for it to reach them

  • It appears by itself (firm folder): a cloud folder that every computer in the firm watches. What you share appears for your colleague in Clients → Shared with you. With Dropbox it arrives straight away; with the other services, within a few minutes. Each computer turns it on in Settings → Data, from the connection's menu → Firm folder…, and everyone must use the same folder name.

  • With a link you send them: JUDLEX gives you a piece of text, you send it to your colleague however you like, and they paste it into JUDLEX. This works with Google Drive, Dropbox, Nextcloud, ownCloud and S3.

What you share is deleted from the cloud once everyone has received it, or after 14 days (7 with S3). You can withdraw it earlier in Settings → Data → What you have shared.

Sharing

  1. Open the menu

In the client file, open the matter's three-dot menu → Share with…. For a case file, go to Case files and open its row's menu → Share with….

  2. Choose who to share with

Your colleagues on the licence are listed. When you choose one, you see their computers.

  3. Confirm their computers

A computer you have not confirmed yet shows in amber, with Check and trust. Click it and JUDLEX shows you its security fingerprint. Ask your colleague to open Settings → Data and read theirs out to you, in person or over the phone. If the two match, click It matches: I trust it and the computer turns green. You only need to do this once per computer.

  4. Choose the route

In Through which cloud, choose the connection; in How it reaches them, the firm folder or a link.

  5. Share

Click Share. If you chose a link, click Copy the text and send it to your colleague.

Your own other confirmed computers receive it too, so that you have it on all of them.

Receiving

In Clients, what has been shared with you appears at the top, in Shared with you. If it was sent to you by link, click Receive with a link… and paste the whole text.

Click View to review it before anything comes in:

  • Who is sending it and from which computer, what it contains and which client it belongs to.

  • If you already have a client with the same NIF (the Spanish tax identification number), you can add it to that client or create a new one.

  • Whether you have brought it in before: if you bring it in again, it comes in as a separate matter, next to the one you already have.

  • Anything that is not included, if there is anything.

  • If any party clashes with another matter in your firm, the possible conflict of interest warning.

Click Bring into my firm or Reject. Nothing comes in until you bring it in.

What is checked when you bring it in

  • It arrives signed by the computer that sent it. If the signature does not match, or it does not come from who it claims to, it is not opened.

  • Every file is checked against its fingerprint.

  • Every fact looks again for its sentence on the page it comes from. Any fact that cannot find it is left out, and you are told how many.

  • Either everything comes in or nothing does: if something fails halfway through, your firm stays as it was.

What does not travel yet

The communications, calendar dates and deadline sheets of the Correspondence and filings extension stay in the firm that holds them. When you share, JUDLEX tells you how many there are and that they are not included.
